This Privacy Policy (Policy) outlines the personal information that Eridis Inc., operating the VoiceTyper service ('we', 'us', or 'our'), gathers, how we use that personal information, and the options you have to access, correct, or delete such personal information.

2. How VoiceTyper processes data
VoiceTyper processes two distinct categories of data. These categories are subject to different handling rules and safeguards.
Dictation Data
Operational Data
For Dictation Data processed on behalf of an organisation, requests may need to be directed to that organisation, which typically determines the purposes for processing Dictation Data.
3. Definitions
Dictation Data means dictated audio submitted to the VoiceTyper services and the transcription output generated from that audio.
Operational Data means data used to operate our business and services that does not include Dictation Data, such as account administration data, billing administration metadata, support communications, and website analytics.
Service Data means limited technical and usage data generated when the VoiceTyper software is used (for example, session duration and software version). Service Data is a subset of Operational Data and does not include Dictation Data.
Account Country means the country associated with an account based primarily on customer-provided information (including during account setup and transactions), with additional signals used to validate consistency and help enforce routing controls. Where information is missing or inconsistent, we apply a conservative approach and may require confirmation or customer action to update the Account Country.
UK Account means an account where the Account Country is the United Kingdom.
EEA Account means an account where the Account Country is in the European Economic Area.
Switzerland Account means an account where the Account Country is Switzerland.
These account-type terms describe account classification and routing and do not necessarily reflect a user's physical location at any given time.
4. Legal roles and permitted uses
VoiceTyper maintains technical and organisational measures designed to protect personal data against unauthorised access, disclosure, alteration, or loss.
4.1 Dictation Data
Dictation Data is processed only to deliver dictation and transcription and to complete the requested transcription transaction.
Dictation Data is not retained and is not used for monitoring, analytics, marketing, advertising, model training, or secondary product research.
Security, abuse prevention, and incident response rely on Operational Data (including Service Data) and infrastructure telemetry that is engineered to exclude Dictation Data. Dictated audio or transcript text is not used for security monitoring or abuse prevention.
Operational Data and infrastructure telemetry do not include dictated audio or transcript text. Logging systems are architecturally constrained so that request bodies and transcription payloads are not captured.
UK/EEA/Switzerland organisational use:
If Dictation Data is processed in connection with an organisation's use of the Services, that organisation determines the purposes for processing Dictation Data and is the controller. In the UK/EEA/Switzerland, VoiceTyper acts as a processor on behalf of that organisation.
UK/EEA/Switzerland direct individual use:
If you use the Services directly as an individual and not on behalf of an organisation, VoiceTyper processes Dictation Data to provide the Services you request and, in the UK/EEA/Switzerland, VoiceTyper is the controller for that processing.
Retention:
Dictated audio: not retained
Transcription output: not retained
No backups and no server-side history
4.2 Operational Data (website and business operations)
VoiceTyper processes Operational Data to operate its website and business, including account administration, billing administration metadata, support communications, and website analytics.
VoiceTyper decides how and why Operational Data is processed, and Operational Data is processed only for the purposes described in this Privacy Policy.
If you are in the UK/EEA/Switzerland, VoiceTyper is the controller for Operational Data.
5. Personal data we process
5.1 Dictation Data
Dictation Data includes:
- dictated audio submitted during a dictation session; and
- transcription text generated from that audio.
Dictation Data may include health-related or other sensitive information depending on what the user dictates.
For UK Accounts, EEA Accounts, and Switzerland Accounts, Dictation Data is processed transiently within the United Kingdom. Dictation Data is not transferred onward from the UK and is not stored, retained, or backed up by VoiceTyper.
Once transcription output is returned, Dictation Data is stored only on the customer's local system or environment. VoiceTyper does not provide server-side transcript history or synchronisation.
Dictation Data is not used for advertising, data mining, or model training.
Please note that in most cases, if you do not provide the requested information, VoiceTyper will not be able to provide the service to you.
5.2 Service Data
For UK Accounts, we process limited Service Data necessary to operate and maintain the service, such as:
- dictation session duration;
- public IP address;
- operating system version; and
- VoiceTyper software version.
Service Data is engineered to exclude Dictation Data. Logs do not contain dictated audio, transcript text, filenames, patient identifiers, or clinical data.
5.3 Account and support data
If you create an account or contact us, we process:
- name, email address, and organisation (if provided);
- support messages you choose to send us; and
- administrative data required to manage your account.
Support systems are not used to access or store Dictation Data.
5.4 Billing administration data
Payments are processed by a third-party payment processor. VoiceTyper:
- does not receive or store full payment card details; and
- stores limited billing metadata only (such as a customer identifier, invoice identifiers, plan, amounts, and dates) for accounting and support.
5.5 Website data
When you visit our website, we may process:
- IP address;
- browser type and version and device information;
- pages viewed and interactions; and
- cookie identifiers and analytics events.
6. Purposes of processing
VoiceTyper processes personal data to:
- provide dictation and transcription services;
- operate and maintain the VoiceTyper service;
- administer accounts and subscriptions;
- provide customer support;
- process billing and accounting; and
- operate and improve our website.
6.1 Lawful bases
Where VoiceTyper acts as a controller for personal data (including Operational Data and, for direct individual use, Dictation Data), processing is carried out on the following lawful bases under applicable data protection law:
Contract (performance of a contract): to provide the Services you request, including dictation and transcription for direct individual use, account administration, subscription management, and customer support.
Legal obligation: to comply with applicable legal requirements, including accounting, tax, and recordkeeping obligations.
Legitimate interests: to operate, maintain, and secure the Services; prevent fraud, abuse, and unauthorised access; ensure service reliability and performance (including troubleshooting and diagnostics using Service Data); and manage business operations. Where we rely on legitimate interests, we balance those interests against the rights and freedoms of individuals.
Consent: where required by law, such as for non-essential cookies and similar technologies (see Section 12). Where processing is based on consent, consent may be withdrawn at any time through the applicable mechanism or by contacting us.
Where VoiceTyper processes Dictation Data on behalf of an organisation (as described in Section 4.1), VoiceTyper acts as a processor and processes Dictation Data only on that organisation's documented instructions. The organisation (as controller) is responsible for determining the lawful basis for that processing.
Where we rely on legitimate interests, individuals in the UK, EEA, and Switzerland have the right to object in accordance with applicable law by contacting privacy@voicetyper.com.
7. Processing locations and data transfers
Dictation Data for UK Accounts, EEA Accounts, and Switzerland Accounts is processed in the United Kingdom. For individuals in the EEA or Switzerland, transfers to the UK for that processing are supported by applicable adequacy decisions for the UK; if an adequacy-based mechanism does not apply, VoiceTyper will implement appropriate safeguards consistent with applicable law (such as Standard Contractual Clauses).

Operational Data (including Service Data, billing administration metadata, website analytics, and support communications) may be transferred to, stored in, and accessed from countries where VoiceTyper and its service providers operate.
Transfers of Operational Data from the EEA, Switzerland, and the UK are protected by appropriate safeguards consistent with applicable data protection law. These include reliance on the EU-U.S. Data Privacy Framework, the UK Extension to the EU-U.S. Data Privacy Framework, and/or the Swiss-U.S. Data Privacy Framework where applicable. Where certification-based mechanisms do not apply, or if such certifications lapse or are otherwise invalidated, VoiceTyper uses standard contractual clauses and applicable UK addenda and applies supplementary measures as required.
8. Third-party service providers and disclosures
8.1 Service Providers
We use third parties to help us provide and secure the Services (Service Providers). Service Providers may process Operational Data on our behalf for activities such as infrastructure and hosting, security and monitoring, customer support and communications, payment processing and billing support, and (where used) website analytics subject to Section 12 (including consent where required).
Service Providers may access and use Operational Data only as needed to perform services for us and in accordance with our instructions and this Policy. We require appropriate safeguards and do not permit Service Providers to sell personal data or use it for their own marketing. We do not sell personal data.
Dictation Data is excluded from Operational Data and is not disclosed to Service Providers except as necessary to deliver the transcription transaction.
A current list of Service Providers that may process Operational Data is available on request by contacting privacy@voicetyper.com.
8.2 Other disclosures
We may disclose Operational Data:
- to comply with law or legal process;
- to protect the rights, safety, and security of VoiceTyper, our users, and others (including to prevent or address fraud, abuse, and security incidents);
- with your consent or at your direction (for example, if you authorise an integration or ask us to share information with a third party); and
- in connection with a merger, acquisition, reorganisation, financing, or sale of assets, subject to appropriate protections and consistent with this Policy.
International access to Operational Data is addressed in Section 7.
9. Data retention
Operational Data is retained only as long as necessary for account operation, support, and legal compliance.
Accounts are deleted within 30 days of closure or deletion request, subject to limited legal retention requirements (for example, accounting records).
Dictation Data is not retained.
10. Security
VoiceTyper maintains technical and organisational measures designed to protect personal data against unauthorised access, disclosure, alteration, or loss.
11. Rights and requests
Individuals may have rights under applicable privacy laws, which can include rights of access, correction, deletion, restriction, objection, and data portability, depending on jurisdiction. In the EEA, the UK, and Switzerland, you also have the right to lodge a complaint with a supervisory authority. If you are in the UK, you have the right to lodge a complaint with the Information Commissioner's Office (ICO).

12. Cookies
VoiceTyper may use cookies and similar technologies on its website. Cookie preferences can be managed through browser settings and available opt-out mechanisms.
13. Business transfers
If Eridis Inc. is involved in a merger, acquisition, reorganisation, financing, or sale of assets, personal data may be transferred as part of that transaction, subject to appropriate protections.
14. Changes to this policy
VoiceTyper may update this Privacy Policy from time to time. The Last Updated date will be revised accordingly.
